Event policies

The practical terms for planning, paying for, and hosting an event at The Arena. Your signed agreement and approved proposal control if they differ from this summary.

01

Pricing and payment

  • $175 per paid hour with a six-hour minimum.
  • A $250 cleaning fee applies to every event.
  • A non-refundable 50% booking deposit is calculated from the venue rental, cleaning fee, confirmed add-ons, and estimated tax.
  • The remaining balance and a separate $500 refundable security deposit are due seven days before the event.
  • No access is provided until all required funds have cleared. ACH and checks must be received seven additional days early.
  • Add-ons ordered fewer than seven days before the event carry a 20% rush fee.
  • Card processing costs may be added where permitted and will be disclosed before payment.

Confirmation and date changes

  • A date is confirmed only after the agreement is signed and the required deposit has cleared on the same day.
  • Neither an inquiry, estimate, payment, nor signature alone confirms a reservation.
  • A date-transfer request must be made at least 14 days before the event.
  • The deposit may transfer once to an available date within six months. Current pricing applies to the new date.
  • Approved force-majeure events may transfer without a fee and do not count against the ordinary one-transfer limit.

Cancellation

  • 30 or more days before the event: the booking deposit is forfeited; other eligible payments are refunded.
  • 14–29 days before the event: the deposit plus 50% of the remaining balance is due.
  • Fewer than 14 days before the event: the full contract total is due.
  • If Anata cancels for a reason within its control, all customer payments are refunded.

Access and event hours

  • Two complimentary setup hours before the paid event and two complimentary teardown hours afterward are included. These hours provide access only; no Anata labor is included.
  • Monday–Friday: quiet setup may begin at 3:00 p.m.; no amplified sound before 5:00 p.m.; guest events may run 5:00–11:00 p.m.; teardown ends by 1:00 a.m.
  • Saturday: guest events may run 8:00 a.m.–midnight; teardown ends by 2:00 a.m.
  • Sunday: guest events may run 8:00 a.m.–10:00 p.m.; teardown ends by midnight.
  • Extensions require approval and are billed at $175 per full hour.

Setup, A/V, and additional help

  • Tables, chairs, stage, microphones, speakers, projector, screens, guest Wi-Fi, and lounge area are included, subject to the approved event plan.
  • Customers configure and reset tables and chairs unless setup service is purchased.
  • Setup and reset service: $250 for up to 75 guests, $400 for 76–150, and $550 for 151–200.
  • Optional A/V technician service is $75 per hour with a two-hour minimum.
  • Additional event labor is $125 per hour per staff member with a two-hour minimum.
  • Linens, décor, event lighting, specialty staging, and additional equipment are quoted separately.

Vendors, catering, and alcohol

  • All vendors require prior Anata approval. Customers are responsible for vendor conduct, damage, cleanup, and compliance.
  • Outside caterers must be licensed and insured. Food may be assembled onsite, but cooking and kitchen use are not allowed.
  • Food trucks, DJs, and live bands are allowed with approval.
  • Alcohol requires written approval and must be supplied and served by an approved, licensed, insured provider.
  • Alcohol events require customer-paid security. Alcohol service ends 30 minutes before the event.
  • Alcohol, security, and schedule details are due 14 days before the event.

Insurance and security

  • Anata may require a certificate of insurance for higher-risk events, beginning at $1 million per occurrence with Anata named as an additional insured.
  • Default security staffing is one guard for 1–75 attendees, two for 76–150, and three for 151–200. Anata may adjust staffing based on event risk.
  • Required security is billed at provider cost plus a 20% coordination fee.

Cleanup, decorations, and damage

  • Customers must remove trash, decorations, food, personal property, and vendor equipment, and return tables and chairs to the designated staging area.
  • Painter’s tape, removable strips, balloons, confetti, glitter, flower petals, rice, and artificial snow are allowed only when completely removed.
  • Open flames are prohibited. Smoke or haze effects require prior approval.
  • Extraordinary cleaning, damage, missing equipment, false-alarm costs, and overtime may be deducted from the security deposit.
  • An itemized deduction notice is provided within five business days. Any remaining security deposit is returned within seven business days.
  • Property left behind is held for seven days, then may be donated or disposed of.

Parking, conduct, and safety

  • Onsite parking is shared, not exclusive, and not guaranteed. No overnight parking is allowed.
  • The nearby North Lehi park-and-ride may be used for overflow parking; guests remain responsible for following posted rules.
  • The contract signer must be at least 21. For teen events, the signer or another approved responsible adult must remain onsite.
  • No smoking or vaping is allowed inside or within 20 feet of an entrance. Cannabis and illegal substances are prohibited.
  • Anata may stop unsafe, illegal, destructive, or materially disruptive activity without refund.
  • Final capacity may be reduced when the layout, equipment, security, accessibility, or fire-safety conditions require it.
